The Surgery
We are a large practice with over 14,000 patients and 90+ staff. Our main site at Holt is a modern, purpose-built Surgery (recently extended and refurbished) and we have a branch Surgery (open 5 days a week) at Melton Constable. Although busy, we are a relaxed, welcoming, and harmonious Practice.
Summary of the Role
You will ensure that clinical data we hold and enter onto our clinical system is of a consistently high standard. Via audits and analysis of the clinical data and business informatics you will help ensure we are hitting targets and treatment standards, operating efficiently and maximising income. You will identify any errors or areas for improvement enhancing clinical governance, patient safety and improving efficiencies. By working closely with the Business Manager and Lead Clinical GP you will be involved in change management and ensuring continued improvement. You will be proactive in suggestions and flexible in your approach to solutions.
Your role sits within the Business Management Team (BMT) who hold senior positions within the Surgery. You will work closely with the Business Manager, Operations Manager, Clinical Lead GP and our IT Manager. You will share a room with the PA to the Operations and Business Manager.
Your main duties will include (but are not limited to):
- Maintain and promote good, accurate and quality data recording.
- Carry out searches, audits, and recalls as required.
- Interrogate and present data clearly and concisely.
- Set-up and maintain clinical templates and referral letters.
- Support the Nurse Admin Team in effectively monitoring patient call and recall systems for long term conditions and blood tests (for example).
- Ensuring data is coded into the clinical system consistently and accurately.
- Investigate routine data improvement enquiries / queries and help as required.
- Highlight and proactively initiate areas for improvement / inaccuracies.
- Ensure monthly claims (reliant on clinical system data) are made correctly and appropriately.
- Use own judgement to resolve data improvement issues.
- Ensure the security and confidentiality of all clinical data handled.
- Prepare statistical or data reports as requested.
- Attend meetings relevant to the post.
- Collaborate with internal and external stakeholders and teams to resolve or improve issues and improve data collection processes.
- Create and enforce data quality rules, standards, and procedures to prevent future problems.
- Monitor clinical governance with the Business Manager and Executive Partner. Ensure aligned with CQC guidance.
- Present updates to promote understanding and inspire improvement.
- Managing and coaching staff to improve their understanding of clinical coding and its importance. Providing training and assistance as required.
- Assist the Research Lead GP as and when required.
Skill Requirements:
- Excellent attention to detail and methodical working.
- Able to compile, interrogate and analyse data to produce meaningful and accessible management reports and make appropriate suggestions.
- Able to work without supervision, but confident to seek advice when needed.
- Outstanding organisational skills and ability to work independently.
- Excellent time management for multiple differing deadlines and priorities.
- Highly motivated with a flexible approach.
- Numerate with advanced IT skills (MS Office – Access, Excel and PowerPoint)
- Excellent verbal and written communication skills with the ability to interact effectively with staff at all levels.
- Able to handle sensitive and/or confidential information.
- Able to work calmly under pressure to manage an unpredictable workload and perform to tight deadlines.
- Keen problem solver with a strong drive for improvement.
- A good sense of humour.
Previous Experience?
There is no need for any previous NHS experience as training can be provided. However, it would be desirable for candidates to have an understanding of health-management and of NHS business and administrative processes. Previous experience of General Practice (and in particular EMIS (our clinical system)) would be helpful.
